The challenge

DuraTech Processes is a growing manufacturer whose file server had grown alongside the business for more than two decades. What started as a small shared drive had expanded — organically, without a librarian — into 74,760 files across 26 folders, with no consistent naming, no version discipline, and no structural convention that had survived the years of turnover, project handoffs, and departmental reorganizations.

The symptom employees felt every day: they were losing time hunting for the right version of a document, and even after finding a file they were never sure if what they had was actually current. Was the spec in Accounting's copy, Projects' copy, or the one in Archive? All three existed. All three had different timestamps. Sometimes the "current" version wasn't the newest one.

Time lost isn't just annoying — for a growing manufacturer, it compounds. Every duplicate is a chance to send a customer the wrong spec, quote off the wrong price sheet, or ship against an old drawing.

What we did

• Scanned and audited the entire server. Every folder, every file, every path — inventoried and indexed for structural analysis.
• Identified 7,306 duplicate file groups. Over 16,000 redundant copies across departments. Same document, three or four homes, sometimes with subtle differences no one had reconciled.
• Quantified 9.1 GB of reclaimable space. Including 3,100+ files duplicated across departments — the same document living in Accounting, Projects, and Archive simultaneously, taking up storage three times over.
• Delivered a clean, categorized folder structure. Designed so the right file is always the fastest one to find. Consistent naming conventions, discipline-aware structure, and a home for every category of document DuraTech actually produces.

Why this matters for a growing business

File-system entropy is one of those problems that never causes a crisis — it just quietly costs a business fifteen minutes here, thirty seconds there, and a bad quote or a wrong shipment every so often. The cost is real but distributed across every employee, every day.

When you're a five-person shop, you can keep the whole drive in your head. When you're a growing manufacturer with departments, projects, and 20+ years of history, that stops working. The drive needs to work for you — not require every employee to build their own mental map of where the current version might be hiding.
